What everything means
Each Whendoo screen has a handful of parts, and every part has a name and a meaning. For the free version, backups, refunds and Health access, see Support.
1. The home list
The home list sorts activities into Ready, Ready soon, Done for now and Paused. Each row shows where the activity stands right now, how close its next time is, how much effort it takes and when you last did it. A high-priority row gets an up arrow in front of the pill text, and once an activity is two weeks or more out in either direction the pill switches from days to weeks, so "+2w" or "In 3w".
- Section headers. Ready holds what's ready now, including anything that needs attention or was never done. Ready soon holds what's coming up within a week, and Done for now and Paused sit below.
- The ring. The ring fills as the next time gets closer, and the pill says where the activity stands. While an activity is in its range, the number inside the ring is the days left before it needs attention.
- The name, with its category's emoji after it.
- The pill. Where the activity stands in a word: In 9d, Tmrw, Due, Do now, +3d or New.
- Last done, under the name: "โ Today", "โ 3d ago" or "Never done", followed by "Skipped today" or "Skipped 2d ago" after you skip it, or "Paused 4w" after a pause, until you next do it.
- The effort icon. A lightning bolt for Easy, a diamond for Hard, nothing for Medium.
- Weekly goal bubbles, one per target, filling in as you complete the activity through the week.
- No bar on the row. The ring shows how far along an activity is. Open an activity to see its range as a bar: green until the earliest day, yellow until the latest.
- Filter chips: All, ๐ฏ Next up, Easy, โ High and a category chip. "Clear filter" turns off the filters and the search, and leaves Next up as it is. It reads "Clear filters" when it clears more than one.
- Search, behind the magnifying glass in the header, finds activities by name.
- Tap the ring to complete an activity. If it's early, Whendoo asks "Complete early?" first, and tapping again offers to undo.
- Long-press a row for Edit, Skip, Pause, Pause multiple and Delete. A paused row offers Resume instead.
2. Next up
Next up picks one activity from what's due, for when you have ten minutes and don't want to choose. Tap the ๐ฏ Next up chip and the list is replaced by one card holding one activity. The card takes its activities from the Ready section in the same order the list uses, most urgent first, narrowed by whichever filter chip is on, so the first activity it offers is the most urgent one you have.
- The card. One activity from what is due right now, with its ring, name and pill.
- Mark done. Completes it from the card, the same as tapping the ring in the list.
- Not now โ. Leaves this activity alone and moves to the next one in the order.
- Also actionable ยท 4. The rest of the pool, and tapping a row jumps straight to it.
- The order. The Ready section's order: urgency, then priority, then name, after any active filter.
- When nothing is left, the card says "โ All caught up!", or names the filters that are on.
3. Activity detail
Tap a row's name to open the activity. The detail screen has everything Whendoo knows about it, including the full completion history.
- The status line, with the same pill as the list and when you last did it.
- Frequency, as you set it, such as "Every 3-5 days", plus "Skipped 2d ago" if you skipped.
- Priority, category, effort and notes. Tap the category row to open that category.
- The range bar, under the frequency: green until the earliest day, yellow until the latest. The dot is today.
- History, with a Weekly or Monthly switch and a count of every completion logged.
- The month calendar, under Monthly. Completed days are marked, and a day carries a corner triangle if the activity needed attention when you did it.
- Recent completions. The latest ones, dated. Health completions name the workout, and your own say "Manual" when Health is linked.
- + Add, at the top of Recent completions, opens "Add previous completion" for an activity you did but didn't log.
- Apple Health workouts, when Health sync is on: each linked workout type, its brand and its minimum duration.
- The pause banner, under the header when paused: "Paused", the resume date or "Until resumed", and a "Resume now" button. The header keeps its details, without the ring.
- The ellipsis menu in the header: Edit, Skip, Pause (or Resume) and Delete.
4. Adding or editing an activity
Adding and editing use the same form. Only the name and the frequency need a decision from you, and everything else has a default that works.
- Name. The placeholder shows an example, "e.g. Change the sheets".
- Category. Optional. If you leave it empty, the activity is Uncategorized.
- Frequency. "Every", a number, then days or weeks. "+ Add range" adds a second number, for "every 3 to 5 days".
- Effort level: Easy, Medium or Hard. The Easy filter chip on the home list uses this.
- Priority: โ Low, Medium or โ High. High sorts first and adds the up arrow to the pill.
- When did you last do this? New activities only. Today, Yesterday, 3 days ago, 1 week ago, "I don't remember", or a date.
- Weekly goal (optional), for frequencies in days. Pick 1 to 7 and the row gets that many bubbles.
- Notes (optional). Anything worth remembering, like which weights you used or the air filter's size.
- Cancel and Create, or Save, in the header. Editing also offers Delete activity at the bottom.
5. Pause and skip
Skip means "not this time" and pause means "not for a while". When you pause an activity, its progress is frozen until it resumes. If it was two days since you last did something you do every five days, it stays at two days for the whole pause and continues from there, so coming back from two weeks away doesn't mean a screen of red. See also the difference between skip and pause.
- The pause sheet's title, naming the activity, with "Progress is frozen until it resumes" beneath it.
- The presets: 1 day, 3 days, 1 week, 3 weeks, each showing the date it would resume.
- Indefinitely. No resume date, so the activity waits until you resume it yourself.
- Custom... opens a number and a days or weeks switch, for any period up to 52.
- The Pause button, with the resume date under it, or "Until you resume" for indefinite.
- Frozen progress. The ring and pill stay exactly where they were until the pause ends.
- Paused activities count toward the 5. See how the free version works.
- Pause multiple... from the long-press menu turns the list into a selection list with "Select all".
- Skip, in the same menu. Skip resets the timer without logging a completion. It asks first, because it can't be undone.
6. Categories
A category is an emoji and a name, such as Home, Fitness or People. It groups activities, gives you a filter chip on the home list, and can be the filter for a widget.
- The category list, from "Manage categories" in the gear menu. Each row shows its emoji, name and activity count.
- A category's page. Its emoji and name in the header, its activities as ordinary rows below.
- History, with the same Weekly or Monthly switch as an activity, for the whole category.
- The weekly grid. One row per activity, one column per day, showing which days had a completion.
- The calendar, under Monthly. Tap a day to see what was completed then.
- The color key beneath it, pairing each activity's dot color with its name.
- The ellipsis menu: Edit category, New activity and Delete category. Deleting leaves the activities as Uncategorized.
7. The widget
The widget is called "Whendoo activities" in the widget gallery. The Home Screen widget shows what's due, with the same colors and pills as the app. Tap the ring to complete an activity without opening the app. The widget needs iOS 17 (the reason).
- Two sizes. Small fits a few rows, and large shows what's due today and what's coming.
- The header, on a widget limited to one category: the category's emoji and name.
- The rows, with the same pills as the app and "โ 3d ago" or "Never done" underneath.
- Tap the ring to complete an activity. The widget updates on the spot. On an activity that isn't due yet, the ring opens it in the app instead.
- The overflow line when rows don't fit: "+2 more", or "+2 ready and +3 ready soon" on the large size.
- Category, set by long-pressing the widget and choosing Edit Widget, limits it to one category.
8. Settings
Settings has these rows, in the order the app shows them.
- Day starts at, Midnight or 3:00 AM, so a late night still counts as the evening before. More on choosing when your day starts.
- Sounds. Play sound on completion.
- Morning summary. Daily notification for due activities, with a Notification time row for when it arrives.
- Sync Apple Health workouts. Automatically complete activities from Apple Health. Off until you turn it on. How Apple Health sync works.
- Color palette: six color palettes that also recolor the widget: iOS system, Candy, Forest, Neon, Sunset, or Cobalt to ember, which is color vision accessible.
- Whendoo website, the first row of About, which opens this site.
- Whendoo Unlimited, in Settings. It reads "5 free activities included" to begin with, then counts what you have used as "3 of 5 free activities", and at five it reads "You've reached the free limit of 5 activities." Once you have bought it, it reads "Unlocked. Restore purchases or request a refund." Tap it to unlock, or, once unlocked, to restore a purchase or request a refund.
- Restore purchases, for a new device or reinstall that hasn't unlocked on its own. It disappears once the unlock is in place. When to restore a purchase.
- Export data gives you every activity, category and completion as JSON. How to export your data.
- How Whendoo works, which shows the in-app tour again.
- Help, Privacy policy and Support, which open this page, the privacy policy and the support page.
- Rate Whendoo, then the app version, which is useful to include in a support email.
- Send crash reports, a switch in its own card below About, on by default. Whendoo sends anonymous reports of crashes, freezes and unexpected errors, which you can turn off in Settings. What a report contains.
